The Viva Gym concept has been brought to South Africa to offer a fitness experience to everyone. Viva aims at providing a modern, energetic and innovative exercise experience that will appeal to all. The gym is equipped with over 210 latest, brand new fitness machines and skilled instructors for providing training to its members. The gym provides its members with a fifteen hundred square metres of training area, aerobics and spinning studio for group trainers, Wi-Fi in the ‘chill area’, showers & changing rooms for freshening up after workout and lockers for keeping their belongings safe. Viva Gym has a vision of rolling out as a successful fitness model throughout South Africa with approximately5,000 members per club. It also envisions an innovative, fresh & fun fitness concept, with quality and latest products & designs.

Business Challenge

Viva Gym, located at Hillfox, Johannesburg in South Africa, was using KRS – gymand membership management software, for managing allmembership and payment related processes as they wanted to focusmore on members than the admin work. They have approximately 4000 users at this location. Now, they wanted tocontrol access to the gym at three entries. Two of the entries had turnstile for normal people while the third had a simple door for handicapped people. They wanted a solution that would ensure hygiene and help maintain health of their members.

The biggest challenge was to integrate the solution with KRS – the gym and membership management software.They wanted to transfer allmembership details from their KRS software to the Access Control softwarefor controlling access. Member details like name, date of joining, membershipcompletion date, address proof andID proofshould be there with the software which controls the entry. Based ondetails in the application server, a useris allowed/denied entry.

They wanted the software to be updated with details such as timings, membership period details, etc. so that members whose membership has expired are not allowed to enter the premises. Another thing they required was controlling entry of the handicapped members since biometric technology would not serve perfectly in their case.

Viva gym wanted to eliminate human intervention in these activities in order to enhance error-free process and customer satisfaction.

Matrix Offered Solution

Looking at the complete process of the gym, Matrix offered fourCOSEC DOOR PVRs- a palm vein based Access Control and Time-Attendanceterminal, a COSEC DOOR CAW- an RFID card basedwireless Access Control and Time-Attendance terminal forhandicapped people, COSEC LE PLATFORM and three COSEC LEUSERS 1000.Two COSEC DOOR PVRs were installedtwo of the three gym entries for access control. Two COSEC DOOR PVRs were installed at two entries of the Admindepartment for enrolment purpose. One COSEC DOOR CAW wasinstalled at the main entrance of the gym for handicapped people. COSECCENTRA Application software was integrated with the KRS via Web API. As soon as the member details are fed into the system, a three digit PIN is generated from the KRS which goes to the COSEC application software. A member can use this three digit PIN only three times. When a member comes to the gym, he or she will be using this three digit PIN and enroll his or her palm for further use. Once the PIN is used for three times, the member will not be allowed access into the gym. In case of a handicapped member, he or she will be required to collect an RFID card from admin in order to get access to the gym.

When member tries to access with palm, the palm template isverified with the template stored in PVR as well as the template stored inthe local server for faster verification process. For reducing palm rejection, multiple templates capturing option has been given – total five different templates can be taken for a user. This significantly reduces the ratio of ‘palm template rejection’. KRS and COSEC server keeps track of membership duration as the respective member’s credential will be disabled upon completion of membership duration.
